Minutes from Exec meeting on Feb 15th

We want to remain transparent and let you all know what we discussed. So, here are the minutes. Sorry they are late - the secretary's laptop died and took all the info with it. But, I will try to be more timely after our next meeting on April 5th.

TripeShot Executive Meeting Minutes – February 15th, 2011

TripleShot Cycling Executive quarterly meeting on February 15th, 2011 at the offices of Johns, Southward, Glazier, Walton and Margetts at 204-655 Tyee Rd.

Meeting started: 6:05pm

Attendance – Kim, Sarah, Dylan, Lister, Geoff, Pete
Regrets - Bill

Motion to approve the agenda.

Update on membership

• 68 signed up for 2011 at this time.
• Need to be members of Cycling BC (CBC) in order to be covered by insurance. Members of club need to sign up with CBC in order to be covered. TS Executive sends in paperwork for our club rides so they are sanctioned every year to CBC so we are covered.
• If you want to be a member of TS, then you have to pay membership and get insurance.
• Membership privileges – ability to buy gear and take skills courses.
• Executive purchases DNO Liability insurance (Directors and Officers) to cover Pete as head of rides and Lister as coach.

Website
• Secondary forum for exec only so that we do not have a ton of emails to weave through.
• Will post Executive Meeting minutes to TS website as our goal is to remain transparent.

Concerns for Race Team Kit/Separation

• Tent – purchase 2 tents to be used at races for cover and also for registration of races TS puts on. No sponsor names on them only TripleShot Cycling on 2 sides and TripleShot racing on two sides.
• Agreed that we should support all levels and continue to have inclusive attitude and activities. Have one kit only in future.
• Incorporate racing skills during regular rides with games – catch the train …. For those who are interested.

High School Update

• Open house at Oak Bay School and Lister there. Visible to 3-400 kids.
• School group currently riding every Friday with 3-6 students. Every Sunday at 1pm 2-6 students.
• School cycling league races coming together April – May. Tuesday evening at 5pm. 3Road, 4mtn and 1 cycle cross. Bastian, Western Speedway and Windsor Park.
• Possibility of TS participating in youth series - July 23/24 we do race at Windsor 24th Windsor. Speedway on Sat and time trial on other day. Two other clubs in BC ready to offer as well. Motion to investigate this further was approved.
• Biggest challenge is to get kids out. Great opportunity for TS parents to get involved. Promote all races to parents.

Races
• Will put on Team Time Trial in Nanaimo and add juniors class this year.
• Will put on Metchosin Master’s race again. Need 8 volunteers. June 26 – Sunday.
• Sun Aug 28th is N2V. TS to promote.

Sponsorship for 2011

• Executive will create sponsorship policy. This will help raise more money. Executive feels that in the future, rather than sponsors telling us what we have to do with their money, we ask for money to do with as we want. Support programs…..

Volunteers
• We need more TS members to volunteer so that not always the same volunteers.

Ride back to ring road
• Tabled and will not look at right now. Consider viable options for splitting riders and look for alternatives.

New Business

Who pays for pizza? Executive pays for pizza at Executive meetings so that not a drain on limited TS money that can go to better causes.

Exec to be confident to promote safety:
• At beginning of ride reiterate what we expect from people. Call out factors, do not slam on breaks, do not panic ….. Demonstrate leadership and call out unsafe riding or give pointers. Be approachable and careful about how say it.
• Executive’s responsibility to make sure that groups are not over a certain size. A’s can be bigger because more skilled. B should be smaller. B 16 and A 20.

Next meeting – March 29th Tuesday. 6pm same location. Motion for monthly meetings to get on track for summer: Approved.
